Camp Policies
The following rules and regulations have been established to insure that all guests are able to enjoy Camp Mokule'ia in comfort and safety. We are dedicated to this goal, and invite comment on our policies, particularly if you believe we have left something out. If you are currently a guest and observe anyone violating this policy, especially when safety is involved, please bring this to the attention of any staff member, or call the office at 808-637-6241.

- Camp Mokule`ia is a camp and conference center owned by the Episcopal Church in Hawaii and governed by a not-for-profit Board of Directors appointed by the Diocesan Council of the Episcopal Church in Hawaii. Camp Mokule`ia is operated without regard to race, color, age, sex, creed, national origin, or handicapping condition. Scholarship funds are available for individuals and groups requiring assistance to participate in Camp Mokule`ia sponsored activities. It is recommended that groups planning conference/retreat activities using Camp Mokule`ia facilities encourage participation on this basis and offer scholarship support for those in need.
- All Regulations and Policies shall be adhered to by all guests and become an official part of the
MEMO OF UNDESTANDING between Camp Mokule`ia and the renting group/individual. The authority of the Camp Mokule`ia Staff in administering policies and regulations must be accepted as final.
Groups will have one
person who is the contact person who will also serve as the "Group Leader" for that group with the Camp Mokule`ia office. The Group Leader will be the person who signs the "MEMO OF UNDERSTANDING" and will be held responsible and liable for all damages to the property of the camp, excess mess left by the group in the facilities, and/or other problems caused by members of the group they are leading.
- Camp Mokule`ia or its staff, will not be liable for any claims or damages to persons or property,
either direct or indirect, arising from the use of camp facilities or equipment during the occupation of the premise by any group or individual.
- Groups may submit reservations for the rental of Camp Mokule`ia up to 13 months in advance of the dates desired. Reservations are only confirmed after a completed and signed "MEMO OF UNDERSTANDING" with the appropriate deposit is received by Camp Mokule`ia. Temporary reservations will be held no longer than 30 days. The initial deposit is equal to 20% of the lodging estimate and is due within thirty days of the initial reservation request. This initial deposit will serve as a non-refundable "Cancellation Fee" to compensate Camp Mokule`ia for administrative costs and missed income potential. The final lodging estimate is due 90 days prior to arrival along with an estimated meal count for camp planning purposes. At this time a deposit totaling 70% of the total lodging estimate (less the 20% already paid) is due. Groups registering within 90 days prior to the group`s arrival will pay a deposit of 70% of total housing. If cancellation is made within a 45 day window of arrival, 50% of the deposits paid to-date are non-refundable . 10 days from the arrival date groups must submit the final meal counts for each meal. The full balance of all charges, less deposits received, is due and payable upon arrival at camp, unless other arrangements are made.
- Camp Mokule`ia reserves the right to reject or cancel any reservation request whenever it is deemed necessary. If cancellation is NOT DUE to inaction on the part of the reserving group, any deposits will be fully refunded.
- Camp Mokule`ia reserves the right to have more than one group on the grounds at a time when space is available and programs can be conducted without conflict.
- Camp Mokule`ia Food Service Staff will try to meet special dietary needs that are presented 10 days in advance of arrival with the meal count. Meal times are: Breakfast 8 AM, Lunch 12 Noon, and Dinner 6 PM. The camp kitchen is not available for group use and is open only to Food Service Staff members. Special food service (sack lunches, travel meals, birthday cakes, Pupus, cookouts, etc.) is available if prior arrangements are made with the camp office and the Food Service Staff. Groups will assign a team of their guests to act as set up and clean up crew for each meal; if young people at least one adult should be a part of the team.
- Check In time is 3 PM and Check Out time is 12 Noon, schedule around these times so Camp Mokule`ia staff can prepare for each group. The group leader must arrive first to check in the group and assign rooms (the camp staff will not assign rooms or keys except in camp sponsored programs). If the group leader cannot arrive then arrangements must be made with to have someone else in charge.
- Youth groups (under age 21) must be accompanied by at least one adult (over age 21) for each eight young people at all times.
- FEES: A "Lost Key" fee of $25 will be assessed for each key not turned in by departure time. A NSF check returned will be assessed a $25 service fee by the camp. A $25 cleaning fee will be assessed for each area to groups leaving meeting areas, sleeping areas, and the general grounds in a mess at the time of departure. Equipment and furnishing breakage will result in the assessment of an appropriate fee to repair and/or replace the breakage or damage.
- Guests are asked to help preserve the natural setting of the Camp. Please avoid destruction of all plans, grass areas, and trees. Please use areas set aside for horseshoes, volleyball, softball, etc. Please use trash receptacles and avoid leaving litter around the camp grounds.
- Guests are asked to respect Camp Mokule`ia buildings, furnishings, and equipment. If furniture and/or equipment are moved during stay please return to original space prior to departure. Please do not remove furnishings from bedrooms and/or buildings. A damage fee will be charged for repair, refinishing, and/or replacement of Camp Mokule`ia property.
- Guests are asked to leave areas they use as clean as the condition they were found in on arrival. If areas require extra cleaning effort by staff a cleaning fee will be charged to the group responsible. Remember, "The sign of a good camper is no sign at all."
- Firearms, fireworks (including road flares), illegal drugs, and gambling are NOT permitted at Camp Mokule`ia.
- Pets of any kind are not allowed in any camp building, especially sleeping and dining areas. Any pets on grounds must be kept on a leash and away from other guests. If animals create any disturbance of other guests, the owners will be asked to take the pet home immediately. Camp staff will call the Humane Society to remove any unruly or stray pets on the campgrounds if necessary.
- Please be considerate of other guests in camp and keep activities confined to assigned areas and try not to disrupt the activities of other groups. All guests are requested to observe quiet time from 10:30 PM to 7:00 AM each day.
- Smoking is prohibited in all camp buildings. This includes the burning of incense and/or mosquito coils.
- Alcoholic beverages are not encouraged at Camp Mokule`ia. Guests who misuse alcohol will be asked to leave.
- The cabins and lodge are not designed for cooking and groups are urged to utilize the food service program for meals.
- State and City laws prohibit ground fires, including fires on the beach, outside of contained areas. Grills & hibachis are permitted but should not be placed directly on the ground. Campfires are permitted in campfire areas or in special containers provided by the camp staff, the use of these areas must be arranged for in advance with the camp office. Groups must bring special wood for campfires or arrange with the camp office for provision of such wood trees and logs around camp are a precious commodity and not to be misused.
- Tent camping is permitted in designated tenting areas only and tenters must use tenting facilities and not use lodge or cabin facilities without the approval of the office.
- Activity and/or shelter tents may be set up in other areas as needed and approved by the camp staff.
- Vehicles are restricted to driveways & parking areas only. Please do not drive onto the grounds or fields. Parking permits are required, permits are issued upon registration with the office and should be displayed inside the windshield. Please do not block emergency roadways with parking.
- Camp facilities are for use by registered guests only. Occupation of cabin and lodge rooms is limited to the number of beds provided. Day use guests must register with the camp office and will be charged the day use fee.
- For safety and security reasons Camp Mokule`ia requires a LISTING OF ALL PARTICIPANTS (ages 5 and older) in every group using the facilities, including "Day Stay" participants. For emergency calls we will also need to know the general location of the "Group Leader" during their stay at Camp Mokule`ia to serve as a contact for such calls. If the "Group Leader" is not going to be available during the stay there must be someone assigned with that duty and registered with the camp office
